Club Bylaws
Article I – Name
The name of this organization shall be the La Pine Pickleball Club (The Club).
Article II – Purpose
The Purpose of The Club is to provide a fun, healthy, recreational activity for Pickleball players of all skill levels; Beginners,
Intermediates, and Advanced.
Article III – Membership
1. Anyone is eligible for membership.
a. Any member under the age of 18 may only play where children are allowed.
2. Each Member, over the age of 18, shall have one vote.
a. Member is not eligible to vote if his/her dues and assessments are not paid in full 30 days prior to
membership voting.
3. Members will abide by the bylaws of The Club, all rules posted as an addendum to the bylaws and all rules of any
community facility where Pickleball is played.
4. Membership will be terminated by voluntary withdrawal, nonpayment of dues or assessments or violation of the
bylaws and rules of The Club or any community facility where Pickleball is played.
a. The Board may at its discretion warn any member not abiding by these rules.
i. Upon a member receiving a second warning for the same type of offense, member will be put
on a 2-week suspension of all club activities.
ii. Upon a member receiving a third warning, The Board may remove that member from The Club.
iii. If the violation is severe enough (e.g. violence, excessive language, abuse, etc.), The Board will
have authority to immediately suspend or remove the member from The Club as determined
by a Board vote.
b. Members who are removed due to rules violations will lose all member privileges and will NOT be
refunded any membership dues.
Article IV – Officers and their Duties
1. The elective officers (The Board) of the club shall be:
a. President, Vice-President, Secretary, Treasurer and Member at Large.
2. Any active member of The Club is eligible for these offices. However, it is deemed necessary that at least one of
the officers be a year-round resident.
a. Active member means anyone that plays regularly throughout the year, except when snow birding.
3. Terms of office shall be one year, from May 1st thru April 30th each year. Vacancies in any office may be filled by
the President but then ratified by a majority of the members at the next scheduled meeting.
4. Election of Officers will take place in the month of April of each year.
a. A list of at least 5 nominees should be announced two weeks prior to the vote.
b. Voting will be done electronically
c. Members will vote for up to 5 nominees.
d. Nominees with the most votes will fill the 5 positions.
e. Quorum will be a majority vote of members voting.
5. Duties of Officers will be determined amongst the 5 newly elected members.
a. President:
i. Shall assume club leadership, preside at all meetings, appoint chairs of committees, call special
meetings as needed, and generally be a spokesperson for the Club.
ii. He/she shall be responsible for coordination with Park and Rec officials and other clubs as
needed.
iii. He/she shall also be responsible for issuing Guidelines & Rules for club’s activities when there
are safety concerns or other requirements not covered in these bylaws.
b. Vice- President:
i. Shall assume the duties of the President in his/her absence.
ii. He/she shall generally assist the club in all functions as necessary.
c. Member at Large:
i. Shall assume the duties of the Treasurer in his/her absence.
ii. He/she shall generally assist the Club in all functions as necessary.d. Secretary:
i. Shall take minutes of Club meetings.
ii. He/she shall maintain membership roster, maintain all membership records and communicate
to membership as needed.
iii. He/she is responsible for determining if quorum exists.
e. Treasurer:
i. Shall collect dues and assessments.
ii. Manage the Clubs checking account.
iii. Disburse all funds for expenditures.
iv. Provide a written financial report monthly, posted at courts and/or emailed.
Article V – Meetings
1. There will be a minimum of two meeting per year, with dates and times determined by current needs.
a. An annual meeting shall be held in the month of April each year for the purpose of electing officers.
b. The newly elected board will meet shortly after the election for general planning for the new season and
as often throughout the year as needed.
2. Special meetings may be called by the President or upon request of at least three members. Such meetings shall
have at least three days’ notice given to members regarding time, place and agenda.
3. All motions are passed by a quorum vote.
a. Bylaws quorum shall be 2/3 vote of all club membership.
b. All other quorums shall be a majority vote of the elected board members after all members have been
advised on the motion and feedback from them reviewed.
4. Meeting minutes shall be taken at each meeting and shall be provided to any member upon request.
Article VI – Dues & Assessments
1. Annual dues shall be required to be eligible for full participation as a member of this Club.
2. The membership may agree to other assessments to cover maintenance and equipment replacement needs.
Article VII – Committees
1. The President may appoint special committees to perform specific functions as needed, such as sponsorship
procurement, club tournament, fund raising, social, rules and etc.
Article VIII – Fiscal Responsibility
1. The fiscal year of the Club shall start the 1st day of May and shall end the 30th day of April.
2. All funds collected shall be deposited in a checking account
a. All five board members will be signatory on the account.
b. At least two signatures shall be required on each check written.
3. All expenditures, over $100, must be explained to the membership as to purpose and then approved by a
majority of board members. Any expenditure under $100 can be spent at the discretion of the board after a
discussion of at least three officers.
Article IX – Amendments
The bylaws may be amended by quorum set forth in Article V, after an explanation and discussion of the proposed
changes.
Article X – Dissolution
On Dissolution of the club, all funds remaining in the treasury shall be distributed to La Pine Park and Rec. Any equipment
loaned to the Club shall be returned to the lender. All other equipment purchased or donated to the club shall be given to
La Pine Park and Rec.
